One of the most rewarding (if not time-consuming!) projects for a payroll department to be involved in is the implementation of new payroll software. Having appropriate software in place to align with the specific requirements of an organisation, which teams can rely on to perform calculations accurately, is imperative in ensuring the correct payment to workers within pre-agreed timeframes. This is so important because research highlights how workers paid incorrectly only twice, may start seeking alternative employment. I’ve watched the evolution of payroll software during a decade of working within the industry, and the progression has been nothing short of amazing. There will be many reading this today who’ve seen that progression over multiple decades. This includes the introduction of more sophisticated systems, which interface with one another, removing the requirement for duplication of work and manual entry. Also, the advancement of the payslip – once regularly printed out and distributed manually, now hosted on cloud-based servers and readily available for review at any time. In addition, employee self-service creates the opportunity for individuals to make changes to their personal details themselves, and interact without the need for a paper trail. I hesitate to mention the dreaded ‘p’ word, but the pandemic had a massive impact on how payroll was processed. Not only were changes made to statutory sick pay, and a whole new scheme introduced in the form of the coronavirus job retention scheme, but everyone had to adapt to a new way of working from home. This forced many organisations to take the plunge and invest in new payroll software, with popularity for software that could be accessed remotely surging. We also heard numerous reports that outsourcing of the payroll function became increasingly common during this time. This could have been for several reasons, including staff absences during the pandemic or increased complexity of the payroll due to the government support
