Customized Group Cruise

Clients Needs and Interests PollinGroup will present a checklist of needs and interests of your group, including: - Purpose of the cruise - Where to travel - Size of group - Needs of the group for meetings, conference space and dining options - Preferred itinerary - Length of travel - Other information Cruise/Land Proposal, Quote and Contract PollinGroup is able to get multiple quotes, if needed, and compare to allow each group to make the best option on dates, meeting space and other amenities tailored to the group’s needs. When the quote is confirmed, PollinGroup will create a custom proposal with the Group Leader with all the information provided. This proposal will include the ship (or hotel), number of nights, room rates, destination, meeting space, daily schedule, and other details for each group. Once the proposal is signed by the Group Leader, PollinGroup then signs the contract with the cruise line. PollinGroup assumes all liability for the Group’s inventory management with the cruise line. We also work with our groups on payment plans, payment dates and deposits. Action Plan Now that the quote and contract are signed, PollinGroup will work with the Group Leader to develop an Action Plan. This is a fluid document that will layout daily schedules for the Group Leader to include cocktail parties, receptions, meetings, events, excursions, dinners, and other information that is customized for each group. This tool will help PollinGroup to create a comprehensive timeline for planning, tracking changes and implementing all final events and activities.

Customized Group Cruise – Marketing Strategy

Group Registration Page PollinGroup will create a personalized registration page for your group. This page will highlight the details of your group, have the room accommodations with pricing, pictures of the rooms and information about deposits, cancellation policy. The Group Registration Page (GRP) is also a tool that can be used to book the cabin choice directly on the website. It captures the first payment as well, although, if someone chooses, they will rather book over the phone, we have a servicing department who will be able to assist. Cruise Index Card Each group will have the option to have an index card printed for their group with cruise information, contact information and a custom QR code to the group registration page and the Flipping Book for distribution to guests. Flipping Book PollinGroup will create an online flipbook brochure for your cruise. This will have all the information included in the contract as well as the proposal with meeting space and cocktail parties. We will also have a breakdown of the itinerary, stateroom prices and location, accommodations on the ship and any excursions that are available. This works in tandem with the group registration page but can be a great tool for Group Leaders to send a simple link to potential guests, speakers and others to get a better idea of what the cruise is like. The Group Leader has an option for a “Welcome Letter” on the inside cover of the flipbook and we can customize all colors, logos and preferred information for your group. Cruise Night PollinGroup will assist in facilitating a “Cruise Night” either at your location or online (via Zoom) to go over cruise details, answer questions and assist guests in their upcoming cruise. We can also distribute any collateral or marketing materials, as needed. This can be done any time after the cruise has been booked and put on sale. Welcome Aboard Letter Our custom Welcome Aboard letter is created in collaboration with the Group Leader. This letter will include all the information needed for a guest to successfully travel to the port of call, stateroom information, port information, FAQ’s and related information. Along with this welcome aboard letter, we can do an additional “Cruise Night” and cover all the information presented in the previous “Cruise Night”. Guests can get acquainted with other passengers, ask questions, and prepare for their upcoming trip. Post Cruise Survey PollinGroup will send a post cruise survey, in collaboration with the Group Leader to ensure that their guests had their expectations met and the plan for the next cruise itinerary. 5

Customized Group Cruise - Servicing

Servicing PollinGroup will provide a dedicated team member to service your group. Servicing will include a primary contact for the Group Leader and their clients/passengers. PollinGroup will be able to assist in all guests questions, reservations and will send bi-weekly reports to the Group Leader so that each group knows cabins sold. PollinGroup will manage all communications with the cruise line about payment schedules, inventory management, passenger manifest and other requests. Payments Our Servicing Department will provide personal service to each guest and manage their payments and invoices. PollinGroup offers options for payments which include credit card through our GRP, over the phone through the PollinGroup website or check. Guest who chooses to book using the Group Registration Page (GRP) will have their information captured and are able to input their credit card information on our secured site. Guest who chooses to book using the PollinGroup website, can do so by going to Book Now to submit their information about passengers and credit card information. Once we receive, we will process and send an invoice to the email on file. Guest who chooses to make a payment over the phone, will be able to call our servicing department to relay their credit card information over the phone and will receive an invoice once processed. Guest who chooses to make a payment by check will make their check payable to CruiseOne and mail that check to: PollinGroup – Attn: Denise Jordan 4701 Willard Ave, Suite 221 Chevy Chase, MD 20815 Cruise Escort PollinGroup will provide an escort for your group, if you have more than 40 cabins in your inventory sold. This person will work with both the Group Leader and the ship’s onboard coordinator to take care of all the cruise details and programming. PollinGroup’s escort will be free of charge to the group and will be able to assist in all needs pertaining to the group, shore excursions, group dinner and events.

Health and Safety

The health and safety of all of our guests remains our number one priority and PollinGroup is continuing to monitor the CDC and other guidelines to resume safe traveling. Cruise lines are ever-evolving their health and safety protocols, taking every precaution to protect you and ensure you feel confident while traveling so you can enjoy your upcoming vacation experience. Cruise lines continue to work closely with public health officials and are investing in new technology and enhancements. If you are interested in finding out more information about the protocols for a specific cruise line, please follow this link: Safety at Sea PollinGroup offers travel insurance for each cruise and strongly encourages that each guest reviews the insurance offered and purchase. For information on the insurance offered for your guests, please follow this link: Travel Protection PollinGroup is constantly in contact with the cruise line to ensure guest safety. In an instance that the Group Leader or PollinGroup feels as though it will not be safe to travel, PollinGroup will work with that cruise line to cancel or reschedule your trip.
