Scale Space is the new innovation space for London, bringing together the best research, talent and business-building expertise from Imperial College London and the UK’s leading digital venture builder, Blenheim Chalcot. Located within Imperial College’s White City Innovation District, Scale Space will be home to the next generation of Blenheim Chalcot scale-up businesses, as well as Imperial College Business School. Scale Space gives you unique access to an ecosystem designed to encourage and support innovation and growth.
Within five years it’s estimated four of today’s top ten incumbents in every industry will have been displaced, while many digital businesses struggle to access the expertise and opportunities they need to grow. For those that want to stay ahead of the curve, innovation and digital reinvention is critical. But it can’t happen in silos. Today’s companies need to break away from the traditional concept of separate departments and position themselves within a network of ideas, expertise and experience. They need to give their business the innovation space it needs.
ABOUT SCALE SPACE Scale Space is an exciting joint venture between Imperial College London (a global top 10 University) and Blenheim Chalcot (the UK’s leading digital venture builder) which is building a 200,000 ft2 innovation centre in the heart of Imperial College’s White City Campus. This centre will be home to many of Blenheim Chalcot’s businesses, part of Imperial College Business School and other high growth innovative businesses who will be part of the business building ecosystem we are creating. Our vision for Scale Space is to build a facility which will foster ‘collisions’, collaboration and innovation between tenants, including facilitating access to Imperial College London’s research and talent, and to Blenheim Chalcot’s venture building expertise. Some companies will lease, fit-out and occupy their own tenancies (6,000ft2+), the design of the common elements will enable this collaboration. There will also be managed office options available to smaller companies taking space in the building, as well as those leasing their own space. Phase 1 of Scale Space delivers 100,000 ft2, opening in March 2020 and we’re now looking for the person who will be responsible for delivering our FM vision every day. As such, we are looking for a talented, passionate and commercially minded FM individual to take responsibility for leading the delivery of a fantastic experience, at all points of interaction for our customers. We want Scale Space to be the best place for digital and technology businesses to innovate and grow and we want to give them a great space, with fantastic support in a vibrant and supportive community. You will represent Scale Space White City internally to tenants and externally to the public and to potential customers and users of the building. JOB DESCRIPTION
Aims & Objectives
Accountable for the day-to-day management of matters relating to property and facilities in Scale Space buildings to agreed service levels.
The post holder must ensure that a quality, value for money service is provided within the policies and procedures set by Scale Space.
In doing so, the post holder will be responsible for budgets and activities, as assigned but not limited to, associated with the Building Service Charge on behalf of Scale Space.

Direct subordinates: Staff and Service Partners as allocated
Key Responsibilities • Provide lead role on local building matters, managing conflicts in priorities where applicable. Provide a monthly review and update on priorities including current service provision, budgetary forecasts, invoicing, short and long-term maintenance plans and refurbishment priorities.
• Accepting the Phase B/C building from the main contractor and preparing them for operations, including the preparation of any/all procedures and processes required.
• Ensure that buildings and plant operate in an efficient, economic and safe manner and in accordance with College policies and statutory requirements.
• Accountable for overseeing the effective delivery of Facility services within their demise.
• Where appropriate, arrange and monitor local contracts and Service Level Agreements (SLAs) and other suppliers to ensure an integrated presentation of Facility Management functions.
• Where the responsibility for a facilities service lies with another, the Building Manager will monitor and manage local matters (as required) but ensure issues are escalated to the responsible officer in good time.
• Responsible for setting and managing capital budgets. The post-holder must work within the budgets provided,ensure rechargeable costs are recovered promptly and deliver regular reports on budget status.
• Accountability for financial expenditure, limited to the FM function, as set by Scale Space Finance Controller.
• Responsible for, once approved, facilitating tenant fit-out works, ensuring that disruption to all parties is kept to a minimum.
• Responsible for facilitating tenant move-in process and ensuring the necessary building orientations and inductions are delivered.
• Being the main point of contact for tenants in relation to any issues associated with maintenance and building facilities, raising those internally with relevant teams and seeing those being implemented while keeping the tenant up to date as to progress.
• Responsible for the escalation of issues, whether occurring during or outside of normal working hours, ensuring senior management and clients are kept fully appraised of events, in good time.
• Responsible for identifying and recommending building fabric, infrastructure and service priorities, to ensure the continued functionality of business critical priority areas. This will involve the management of local condition survey registers, building log books and risk registers. • The post holder must ensure that Health & Safety operations associated with the delivery of Facility Services within their managed demise, are properly assessed for risk and carried out in a safe manner. They should also ensure Scale Space safety policies are adhered to and that local safety rules are observed.
• Responsible for local liaison with appropriate advisors, i.e. Fire Office.
• Responsible for the coordination of telecommunications and ICT operational activities within their building portfolio.
• Responsible for carrying out and documenting weekly building audits, highlighting any areas of issue and ensuring the necessary remedial actions are taken.
• Conducting scheduled 1-2-1 meetings with the tenant representatives to ensure a 2-way flow of information is established.
• Responsible for own self development and for identifying and encouraging the continuous development of those staff reporting to you.
• Undertake other tasks as required within the scope of the role.
PERSON SPECIFICATION
Experience/Education
Professional Qualifications: • A recognised professional qualification in a field relevant to the duties of the post or proven experience in building or facilities management - Essential • A recognised qualification in Health & Safety e.g. NEBOSH Certificate – Desirable Experience of: • Proven experience in building or facilities management if accompanied by a recognised professional qualification or significant progressive and relevant experience - Essential • Evidential experience of delivering energy and sustainable initiatives, within buildings and their communities - Desirable • Experience of working within a multi tenanted environment - Essential • Experience of achieving quality and value for money in the management of buildings - Essential • Experience of developing and managing Service Level Agreements - Essential • Excellent communication skills, both oral and written are a prerequisite of the post - Essential • Able to plan, organise and implement long term maintenance programmes and minor works with minimal disruption to occupants - Essential • Able to work to tight deadlines, managing and prioritising time effectively - Essential • Forward thinking, innovative and able to anticipate and find solutions to problems - Desirable • Able to work effectively within a rapid growth organisation - Desirable • Commercial awareness - Desirable • Financial acumen with proven ability to prepare and manage service charge budgets - Essential • In depth knowledge of Health and Safety legislation and Environmental Health - Essential • In depth knowledge of Building and Fire Regulations - Essential • Computer literate - Essential Knowledge/Skills/Ability
