About the Directorate of Estates & Facilities
King’s Directorate of Estates & Facilities is a key enabler of the university’s Strategic Vision 2029 and we have created a strategy which demonstrates our intent and sets out how the Estates & Facilities team will support the ambition of the university’s strategic vision.
Our philosophy has been developed using the Guiding Principles outlined in Vision 2029; we have worked with the teams across the other support
functions, with our academic and research colleagues and our students so that we can ensure that the communities we serve are at the very heart of the directorate’s work. We know that everyone in King’s interacts with our physical assets and relies upon our service delivery therefore they need to: • be seamless • to work • be sustainable and safe • be enabling • support work and learning and; • enable growth As King’s continues to mature and grow the task of developing, maintaining, managing and driving value from our physical infrastructure will become more complex. The Estates & Facilities strategy holds together our vision and ensures we can measurably improve the learning and working experience of our student, staff and partners. Operating in central London means that King’s has some unique challenges ahead with an ambition to grow student numbers and the level of research we undertake. King’s has five campuses in central London consisting of more than 100 buildings ranging in age from the 1780s to the current day. Many are listed and of great architectural significance. Role purpose
Deliver services with commercial principles that add value to the King’s Community experience by: • Providing innovative and creative dining, living, sports and event management that contribute to the wider learning experiences of our students through interaction with our sport facilities, food outlets, residences and venues. • Becoming a key contributor to student and staff satisfaction outside the academic and work environment, ensuring services are conveniently accessible and meet expectations. • Maximise the use of vacant space with the delivery of world-class events and event management for both internal and external stakeholders use of all commercially viable vacant spaces – classrooms, function rooms and residences – to support the university’s activities and enable/encourage connectivity and collaboration, leveraging the physical and intellectual capacity of London. • Planning supply-demand response to conservatively meet demand projections. • In addition, the post holder will work closely with Students & Education directorate to maximise opportunities for collaboration to help shape the student experience and meet the university’s objectives on student well-being and community building aspects for increased sense of belonging and a more holistic approach to all these services. As a member of the Directorate of Estates & Facilities’ Senior Leadership Team (SLT), the post holder will: • Play a central role, in conjunction with the Director of Estates & Facilities and other SLT members, in forward planning and strategy development for the department and the directorate, ensuring it aligns with Vision 2029 , other university’s strategies (Education, Service, London etc.) and the Estates & Facilities Philosophy. • Provide strategic advice to the Director of Estates & Facilities, agreeing best way forward for the directorate and sharing such recommendations in the appropriate forums (i.e. Estates Strategy Committee, Real Estate Operations Board etc.), becoming a valued and trusted advisor to the Director and university in their areas of expertise. • Effectively and collectively manage the risks within the directorate and align mitigation plans with management activities within departments, the directorate and other areas of the University, including potential financial impact and keeping the Director of Estates & Facilities abreast of any significant changes, including those requiring further escalation. • Ensure that there is appropriate and accurate management information available to SLT, covering all areas within the remit of the department, as required. • Actively engage with SLT members and key stakeholders from the various Directorates and Faculties to ensure a collaborative and constructive relationship. In addition to the post holder’s role within SLT, their responsibilities in leading their department are outlined below:
Strategy & Business Planning
• Develop a strategy that leverages Estates & Facilities’ role in creating a unique and memorable KCL experience, helping to differentiate the KCL student offer from other London and Russell Group Universities. • Develop specific short-term and long-term plans and programs, together with supporting budget requests through the yearly Business Plan process. • Coordinate and collaborate with other departments within E&F in establishing and carrying out responsibilities within the agreed business plan. • Prepare and implement annual business plans that achieve cost-effective operations and business development activities. • Issue specific annual objectives to direct reports and ensures these are cascading through all layers of management, reflecting the agreed departmental objectives. • Lead their team with clear responsibility and accountability, creating a working environment where our people can thrive and contribute to the overall aims of King’s. • Create an environment that motivates staff, ensuring that they are fully aware of what is expected of them and what success looks like, sharing good practice within the directorate. • Model good staff management practices to their direct reports, ensuring the correct balance of being supporting and challenging, recognising success regularly. • Effectively and regularly communicate with staff, monitoring and coaching line managers, keeping regular contact with each division lead and ensuring relevant SLT level information/updates are consistently communicated throughout the department. • Recruit and maintain qualified personnel in all positions reporting directly to them, ensuring job titles and compensation are consistent with standards across the whole directorate. • Direct, monitor and appraise the performance of divisions within the department and provide the necessary coordination between division leads for maximum collaboration. • Identify training needs, initiate development of direct reports, recommend effective action to ensure team members maintain their competence, and development plans are recorded in their PDRs. • Ensure a consistent and fair approach to staff development opportunities across their department, with appropriate performance management and in support of succession planning. • Constantly challenge unsafe or inefficient behaviours and/or practices, and follow through to a satisfactory corrective action, in line with King’s Principles in Action. • Work closely with HR Business Partner(s) for the purposes of resource planning, recruitment and management of underperformance. • Provide coaching and mentoring support to members of the ELT not in their department, whenever possible. • Monitor the strict adherence to governance and setting high standards of professionalism across the functions. • Review performance against operating plans and standards, providing feedback to direct reports on interpretation of results. • Drive rapid and consistent improvements to ensure that we deliver on time in full, to budget, to quality standards, to the customers’ expectations, and with the most effective use of our resources. • Build risk awareness amongst staff by providing support and training within the department. • Monitor department’s performance and support strategic decision making, providing regular evidence/ >Page 1 Page 2 Page 3 Page 4 Page 5 Page 6 Page 7 Page 8 Page 9 Page 10 Page 11 Page 12 Page 13 Page 14 Page 15 Page 16
